A guide for registered exhibitors at the Summer Vacation, Internships and International Careers Fair


Before the fair

We will send an information pack to your registered contact, along with:

  • a campus map (.doc 834kb)
  • pre-ordered parking permits, if any

Student publicity

We will run campus and online promotions from the start of July to publicise your participation in the fair and provide details to all students who attend.

  • Plan to bring enough printed materials and/or giveaways. Each of our fairs attracts over 2,500 students.
  • Advertise your job vacancies on our Career Gateway website (requires login to your account).

Sending displays and materials by courier in advance

  • Label every item with “CAREERS FAIR” and your organisation’s name.
  • Deliver between 8.30am and 5.00pm (Australian Eastern Standard Time) on Tuesday 4 or Wednesday 5 August, or before 9.30am on Thursday 6 August.
  • Deliver to: Monash Sport, Building 1, Campus Ring Road East, Monash University, Wellington Road, Clayton, Victoria, Australia. Couriers must check in at the Sport reception counter for directions to the drop-off location - see map (.doc 834kb)

Key timeframes

  • 10.30am to 12.00pm - Exhibitors set-up
  • 12.00pm to 1.00pm - Lunch for your representatives
  • 1.00pm to 4.00pm - Event open to students
  • 3.00pm to 3.30pm - Afternoon tea for exhibitors (during the event)
  • 4.00pm to 6.00pm - Exhibitor pack-up and couriers

Arriving on campus and parking

If you ordered parking permits at registration:

  • You must display a valid permit on the dashboard of each vehicle you park. Permits are only valid in the C-11 (gravel) car park, opposite the Doug Ellis Pool building.
  • Arrive on campus anytime from 10.15am, leaving enough time to drop off materials if required, park and set up your exhibit by 12.00pm.
  • Offload heavy materials before parking – at the loading bay behind the Doug Ellis Pool building. Our staff will be waiting there to help you, but note that minor delays are possible due to the number of guests we are expecting.
  • If you are only carrying lightweight materials, carting stable wheelie-cases or similar, avoid delay by bringing these items from the car park - see map (.doc 834kb)

Warning: Only taxis and couriers may use the small loading bay at the front of Monash Sport. Traffic officers may fine other vehicles left here unattended, or those stopping on the roadway.

Arriving by taxi

  • Arrive on campus anytime from 10.30am, leaving enough time to drop off materials if required and set up your exhibit by 12.00pm.
  • Offload heavy materials at the loading bay behind the Doug Ellis Pool building and enter the venue via this entrance. Our staff will be waiting to help you, but note that minor delays are possible due to the number of guests we are expecting.
  • If you do not require help to move your materials to the venue, have the taxi drop you off at the small roadside loading bay at the front of Monash Sport and enter the venue by the main entrance - see map (.doc 834kb)

Setting up in the venue

  • The venue is open between 10.30am and 12.00pm for set-up. Our staff will escort you to your position.
  • Complete set-up before attending lunch, as the fair starts immediately afterward. (For security purposes, access to the Recreation Hall will be restricted during the lunch break.)
  • Your space or exhibition shell (as ordered at registration) will be equipped with table and chairs and access to a single power outlet. Shells have a Velcro-adaptable coating for easy poster display.
  • All large display items must be less than 3 metres wide and must not obstruct the view to other exhibits or impede traffic flow in the venue.

Lunch and refreshments

  • Hot and cold buffet lunch, including vegetarian selections, will be available between 12.00pm and 1.00pm.
  • We will cater for the number of representatives you requested at registration. Please speak with our staff if you require extra lunches.
  • Afternoon tea and light refreshments will be available in the Games Hall from 3.00pm.
  • We will supply bottled water to your exhibit throughout the event.

Packing up and leaving the venue

  • The fair will close to students at 4.00pm.
  • The venue will remain open for exhibitor pack-up and couriers. Our staff will be on hand to help you.
  • We can book you a taxi - at the end of the fair - if required. For advance bookings, please contact your chosen taxi company directly.

Courier collections

  • Label every item with your organisation’s name and keep them together in the venue.
  • Speak with our staff to ensure we move materials to the correct location for pick-up.
  • For maximum security, arrange your courier to collect immediately after the fair, between 4.00pm and 6.00pm. If necessary, pick-up may occur the following day, before 12.00pm.
  • Couriers must check in at the Sport reception counter to be directed to the venue or storeroom as appropriate - Monash Sport, Building 1, Campus Ring Road East, Monash University, Wellington Road, Clayton, Victoria, Australia.
  • Couriers must tell us your organisation's name (not theirs) to collect.
