2008 Monash University International Jobseeker Expo - Exhibitors Guide

Monash University Employment and Career Development would like to invite you to showcase your organisation’s career opportunities to our students.

Registrations are now open. As places are limited, please make sure you register early to ensure your participation. Please read the Exhibitor’s Guide carefully and register by clicking on the Registration Form link within the guide.

Following successful events in 2006 and 2007, Monash University will host its third annual International Jobseeker Expo in September 2008. This premier event will take place at the Caulfield Campus in Melbourne from Wednesday 10 to Friday 12 September.

Monash is a member of Australia's prestigious Group of Eight universities, recognised for excellence in research, teaching and scholarship. It is ranked in the top 50 universities in the world by the Times Higher Education Supplement (UK).

Monash is also an acknowledged leader in education of international students and has consciously developed curricula to prepare graduates for the global workforce. More than 31 per cent of our students are international. As Australia's largest university, with more than 58,000 students, Monash has more international students than any other Australian university. This diverse student body offers a uniquely talented and global perspective. Students who have attended the Expo in the past two years have represented a broad mix of nationalities, particularly from Asia, but also elsewhere in the world.

This three day event seeks to provide opportunities for international students returning home after graduation and for Australian students exploring the overseas graduate job market.

Registering for the Event

Package Options
Package 1 $990 (AUD) Attending the Expo only
Package 2 $1240 (AUD) Attending the Expo PLUS a campus information session on 11 or 12 September (half hour duration, date/time-scheduled at our discretion)
Package 3 $1100 (AUD) Attending the Expo PLUS conducting interviews on campus on 11 and/or 12 September (one interview room and light lunch for delegates is part of package). Additional rooms may be available – please contact us for more information
Package 4 $1300 (AUD) Attending the Expo PLUS a campus information session PLUS conducting interviews on campus

Package Details
ALL International Jobseeker Expo event packages include:

  • Expo Participation
    • Exhibition space / booth (with a table and 3 chairs) at the main expo event.
    • A sign featuring organisation's name.
    • Access to one power outlet (please ensure you bring suitable power adapters for your overseas electrical equipments).

  • Publicity
    • Employer profile included on the Expo website.
    • Web/campus publicity (including plasma screen promotion) to promote your organisation’s participation to students.
    • Organisation's name and targeted discipline/s on a flyer given to students on the day of the Expo.
    • Additional publicity via direct email-out (x1) to students.
    • Access to the University’s Career Gateway service.

  • Catering
    • Morning tea (for 3 representatives).
    • Sandwiches during the Expo (for 3 representatives).
    • Post-event refreshments with finger-food (cold buffet) with Monash academic staff and representatives of student societies (for 3 representatives).
      Catering is available for additional representatives over and above the complimentary package limit of three per day. Please inform us of the number of extra catering on your registration form. The cost of extra catering is $38 AUD(GST inclusive) per head for the day of the Expo and $20 AUD (GST inclusive) per head for the consecutive days.

  • Booths
    • Booths are 3m long x 2m wide. The partitioning is finished in white and blue melamine panels with aluminium framework.
    • Please note, posters can be fastened directly to the walls of the booths. There will also be a hanging rail at the top of your booth for promotional material.
    • Please ensure that banners and displays do not obstruct the view to neighbouring exhibits or impede traffic flow in the venue aisles.
    • Banners/backdrops must be less than 3 meters wide to fit within the booths.

  • Advertising Employment Vacancies
    • Career Gateway is our Internet-based job database for Monash students and graduates. We encourage all attending employers to advertise graduate vacancies on this site free of charge. Simply input your advertisement directly via the site: http://careers.monash.edu.au/employers/job-advertising.html (Mention in your ad that you will be participating in the International Jobseeker Expo, to further highlight your attendance at this major campus event). Many students who attend (as well as some who cannot) will refer to Career Gateway for vacancy details, a link to your website and application details.

Registration
To register for the International Jobseeker Expo complete the forms via the Online Event Registation.

You should receive confirmation of your registration via email within 7 working days. If confirmation of your registration does not arrive within this time, please contact us by sending an email to Csilla Papp csilla.papp@adm.monash.edu.au or Tracie Cox tracie.cox@adm.monash.edu.au.

A detailed information pack will be emailed to you at least 2 weeks prior to the event. This information pack will aim to make your final preparations and participation in our International Jobseeker Expo as easy as possible.

Please note, while our staff will make every effort to accommodate your organisation, places are limited. Monash University Employment and Career Development reserves the right to refuse or cancel the registration of any organisation to ensure that priority is given to organisations most appropriately matched to the aims of our event. If the registation of your organisation is refused or cancelled by Monash Unversity Employment and Career Development, you will be notified as soon as possible.

Payment
You will receive an official tax invoice after you have registered. Instructions on payment methods will accompany the tax invoice. Payment should NOT be made prior to receiving the tax invoice. Cancellation Policy
To cancel your registration and attendance, please notify via email Csilla Papp csilla.papp@adm.monash.edu.au or Tracie Cox tracie.cox@adm.monash.edu.au. Verbal cancellations via phone will not be accepted.

A cancellation fee of $220.00 (GST inclusive) will be incurred by organisations withdrawing from the Expo after the 6 August, 2008.

Cancellations not notified will incur the full registration fee applicable to the selected package option, or forfeit the full amount if already paid.


Preparing for the Event

Delivering Materials and Displays to the Venue by Courier
Given the short time frame available for set-up on the morning of the event, we strongly recommend that you courier materials to campus in advance. So that they can be identified and moved into position in the venue, all items must be individually marked with your organisation’s name.

Deliveries can be accepted during normal business hours 2 days prior to the event from Monday, 8th September.

Materials should NOT be forwarded to the Employment and Career Development office.

Please ensure your couriers have a copy of the courier map.

If you do not wish to courier materials in advance, bring them with you on the day.


On the Day

Arriving on Campus and Parking
The following advice is for those bringing materials with them on the day either by private vehicle, hire car or taxi:

  • Heavy materials may be dropped off before parking your vehicle, on the day of the event between 9.00am and 10.30am at a loading dock located off Dandenong Road. Turn left at multi level car park (Building J) off Dandenong Road. Do not turn into car park, head toward speaker phone and roller door. Click speaker phone and an attendant will open door to provide access to Building H. Please note: a queue may form and minor delays are possible. We ask for your patience in this regard.

  • Where possible, lightweight, carryable items, wheelie-cases or similar should be used to bring your materials with you.

  • Please park your vehicle in the public carpark (Building J). At the end of the day, there will be a staff member stationed there to pay your parking fee. Please see venue parking map.

Setting up in the Venue
On the day of the Expo building H is open from 9.00am for you to set up your exhibit.

You will be accompanied to your exhibition booth when you arrive at the venue. Each exhibit will be equipped with one power outlet, a table (1.8m x 0.75m top) and three chairs. We regret that no Internet connections are available. Please ensure you bring suitable power adapters for your overseas electrical equipment.

All exhibitors should ensure that banners and displays do not obstruct the view to neighbouring exhibits or impede traffic flow in the venue aisles. Banners/backdrops must be less than 3 metres wide to fit within the booths.

After the Event
Instructions for couriers collecting materials:

  • If you plan to have a courier collect materials after the event, pick-up should be arranged for the day of the Expo, between 3.30pm and 8.00pm or, if necessary, between 8am and 12pm on Thursday 11 September, 2008.

  • Couriers should go to the Mailroom, Building A, Monash University, Caulfield Campus, Queens Avenue, Caulfield East, Victoria, 3145. Staff there will direct them to the loading bay. Please ensure your couriers have a copy of the courier map.

  • Given the similarity of items to be collected for many organisations, to prevent misdirection it is essential that ALL your items are marked with YOUR organisation’s name and that the courier be able to tell us YOUR organisation name (not their courier company’s name) when they are collecting.

Disclaimer:
Monash University Employment and Career Development also wishes to advise potential registrants that:

  • Proposed event offerings and published details, whilst not expected to, may change. Should significant changes to an event offering occur, consultation with affected registrants will take place, especially if changes necessitate fee increases.
  • Registration may close early if venue capacity is reached prior to the official closing date.
  • Employment and Career Development makes no undertaking that places will be available for ALL organisations wishing to participate. It is the responsibility of each organisation to ensure they register online correctly and within the official registration period, whether shortened or not.
  • Places cannot be “reserved” based on early or tentative expressions of interest. Registering online is the only way to secure a place.
  • Employment and Career Development reserves the right to refuse or cancel the registration of any organisation to ensure that places in demand are filled by organisations most appropriately matched to the aims of these events. If refusal or cancellation occurs, affected registrant(s) will be notified ASAP and no fee will be charged.
  • Acceptance of late registrations is at the discretion of Employment and Career Development and may incur a late fee of $55.00 (GST inclusive) to cover additional administration. This fee is non-refundable in the event of later withdrawal.
